Website Terms — Our Role as Agent

Unless stated otherwise, Clubworld Travel acts as agent only. Your contract is with the Supplier. Supplier booking conditions apply and the Supplier is responsible for delivery of travel services.

Prices are subject to availability, may change before confirmation and are provided by Suppliers. Local charges may be payable locally.


Travel Requirements & Insurance

You are responsible for passports, visas, health requirements, and travel insurance. Flight times may change and must be checked carefully.


Liability & Force Majeure

We act as agents and are not liable for supplier performance or events outside our control including severe weather, government restrictions, pandemics, transport disruption, war, or terrorism.


Data Protection

We share booking information with Suppliers in accordance with our Privacy Policy. Governing Law & Contact

These booking conditions are governed by the laws of the United Kingdom. Where applicable, any disputes will be subject to the jurisdiction of the courts of Northern Ireland.


Booking Details

You are responsible for making sure all traveller details are accurate and match the information on their passports.

When your booking is taken, the details will be read back to you. Once you confirm that everything is correct, we will finalise the booking with the relevant principal(s) or supplier(s). Please check all documents carefully when you receive them to ensure names, dates and times are accurate and notify us promptly if any errors are identified.


All names provided must match those shown on the relevant passport. The information you supply for your booking will be shared only with the appropriate travel suppliers or other parties necessary to complete your arrangements. By making a booking, you consent to this information being shared where required. A booking is confirmed once written confirmation has been issued. The lead name is responsible for all travellers on the booking, and payments must be made by the stated due dates. Any amendments or cancellations may incur supplier charges in addition to administration fees.


Payments

At the time of booking, you will be required to pay either a deposit or the full amount. If you pay only a deposit, the remaining balance must be paid by the due date provided to you. If full payment is not received by this date, we will inform the principal(s) or supplier(s), who may

cancel your booking and apply the cancellation fees outlined in their Terms and Conditions.


Travel Advice

Passport, visa, health, and entry requirements are your responsibility. Government travel advice should be checked before booking and before departure.


Contracts

These terms set out the basis on which we will make bookings for your travel or holiday arrangements. When you make a booking, we will arrange for you to enter into a contract with the principal(s) or other supplier(s) (such as a tour operator, airline, cruise company or accommodation provider) named on your receipt(s). We may book a package holiday for you, in which case you will have a single contract with the principal, or we may arrange the individual services that make up your holiday with different principals or suppliers, meaning you will have separate contracts with each of them.


As an agent, we do not accept responsibility for the acts or omissions of the principal(s) or supplier(s), or for the services they provide. The principal(s)’ or supplier(s)’ Terms and Conditions will apply to your booking, and we strongly recommend that you read them carefully, as they contain important information. Please ask us for copies if you do not already have them. Our Terms of Business are governed by English law and fall under the jurisdiction of the English or Northern Ireland courts.


All travel arrangements that we provide, or sell are not an offer by us to sell those arrangements, but an invitation for you to make an offer to the relevant suppliers. We may accept that offer on behalf of the suppliers or decline it.


Cancellations and Amendments

Any request to cancel or change your booking must be submitted to us in writing and will only take effect once we have received it. If you cancel or amend your booking, the principal(s) or supplier(s) may apply a cancellation or amendment fee as outlined in their Terms and

Conditions (which could be up to 100% of the travel costs).


Special Needs & Requests

We’re committed to making your travel experience as comfortable and enjoyable as possible. If you have a disability or medical condition that involves specific travel needs, accommodation adjustments, or dietary requirements, we strongly encourage you to let us know at the time of booking. Any details you share will be handled in confidence and used solely to ensure that your accommodation, facilities, and transport are suitable, helping us provide you with the best possible holiday. Specific requirements must be disclosed before booking. Requests will be passed to suppliers but cannot be guaranteed.


Delivery of Documents

Flight-only tickets will be emailed to you so you can check in online and print your boarding pass. Other travel documents may be collected from our office before departure. If you request that tickets are sent by post, please note that we cannot accept liability if tickets or other

documents fail to arrive. You must check documents and notify us of errors immediately.


Final Travel Arrangement

Please ensure that all your travel, passport, visa and insurance documents are in order and that you arrive in plenty of time for checking in at the airport. It may be necessary to reconfirm your flight with the airline prior to departure. If you fail to reconfirm, you may be refused permission to board the aircraft and you are unlikely to receive any refund.


Financial Protection

Clubworld Travel is an ABTA member. All the package holidays we sell come with protection for your money. If you buy a single travel service, then this might not apply. Package holidays are protected by the package organiser, and we will provide you with their confirmation. When you buy an ATOL protected fight or flight inclusive holiday from us you will receive an ATOL Certificate. This lists what is financially protected, where you can get information on what this means for you and who to contact if things go wrong. We do not hold an ATOL licence. Package holidays are ATOL protected by the package organiser, and we will provide you with their ATOL confirmation.


Insurance

Adequate travel insurance is strongly recommended and may be required.


Complaints

Because the contract(s) for your travel arrangements is between you and the principal(s) or supplier(s), any queries or concerns relating to the travel arrangements should be addressed to them. If you have a problem whilst on holiday, this must be reported to the principal/supplier or their local supplier or agent immediately. If you fail to follow this procedure there will be less opportunity to investigate and rectify your complaint. The amount of compensation you may be entitled to may be reduced or you may not receive any at all depending upon the circumstances.


If you wish to complain when you return home, write to the principal/supplier. You will see the name and address plus contact details in any confirmation documents we send you. We will of course assist you with this if you wish - please contact Customer Services. If the matter cannot be resolved and it involves us or another ABTA Member then you have the option to use ABTA’s ADR scheme, approved by the Chartered Trading Standards Institute, see www.abta.com.
